Configure recording rule

The recording rule defines which conversations (e.g. audio, video, chat) are recorded and how long they are saved. Administrators can define specific parameters for voice recording, video/screen recording and retention times.

Create New Rule:

  1. Click on the button Add rule.
  2. In the field Rule Type, select the option Recording.

Edit an existing recording rule:

  1. Select the recording rule and click on the icon to edit it.
  2. The following window is displayed:

Rule Type

Recording.

Rule Name

Unambiguous, unique Rule Name.

Recording options

Select which media types (voice, video, screen) are to be recorded.

  • Language: Activate to enable voice recording.
  • Video/screen recording: Activate to record videos and split screen content.
  • Screen recording only: Activate to record only the screen content of the call participants.
  • Revaluating a 1:1 Conversation when changing to meeting: Activate to re-evaluate and adjust the recording rule when changing the conversation type. Meetings may be subject to other policies.
  • Chat: Activate to record chats. Further setting options are displayed dynamically here, see Chat.

Recording Type

The recording type determines under which conditions and to what extent calls are recorded, such as permanently, selectively or not at all.

NOTICE! Dynamic display when activating: Voice, Video/Screen recording, Screen recording only

  • Bulk recording: All of the user's conversations are automatically recorded.
  • Never Record: No conversations of the user are recorded.
  • Recording on demand: The user decides whether the current conversation is recorded. Recording can be started and stopped several times.
    • Recording control (start/stop) is called up by clicking on the icon in the functionality bar of the tab Recording.
    • For the recording of a conversation the icons for recording started and for recording stopped are displayed.
  • Pause recording: This option allows the user to temporarily pause the recording and then resume it.
  • Recording switchable: The user can activate or deactivate automatic recording.
  • Keep/delete: Keep or delete the recording during the conversation or in a follow-up time. NOTICE! Dynamic display, see Keep/Delete.

RoD Recording on Demand

Die RoD-control (record on demand) allows users to dynamically start and stop recording using DTMF codes.

NOTICE! Dynamic display when activating: Recording on demand, Interrupt recording

  • RoD start code: Recording can be started by entering the DTMF code 999.
  • RoD start code: Recording can be stopped by entering the DTMF code #999#.
  • RoD Start Only: Recording can only be started but not stopped. This setting prevents the recording from being interrupted accidentally.
  • RoD Stop Reason Required: Requires the selection of a predefined stop reason before a recording can be ended. The reasons are displayed in the drop-down menu of the live conversation view and documented in the detailed view and the metadata of the conversation. The reasons are available for compliance analyses.
  • NOTICE! Up to 10 user-defined stop reasons can be added, each separated by the character “|”.

DTMF (Dual Tone Multi-Frequency) announcement suppression

Allows to mute or deactivate the recording announcement for participants by entering a DTMF code. The recording announcement can be blocked for up to 180 days using a DTMF code (default value). At the end of this period, the announcement is automatically reactivated for PSTN participants, but can be muted again for the same period by re-entering the DTMF code.

Extended recording options

These options allow specific customization of who is notified, which tracks are recorded, and the handling of multi-line scenarios.

  • Recordings without notification: Activates the automatic recording of conversations without notifying the participants in advance. This function often requires special authorizations.
  • Record user stream only: Restricts recording exclusively to the stream of internal users and ignores external participants or sources.
  • PSTN Recording Notification: Adds an automatic announcement for PSTN users (public telephone network users) to inform them about the ongoing recording.

  • Multi-line support with MSFT delegation: Multi-line support allows users to make and receive calls via multiple numbers in Microsoft Teams. Every number hat eine proprietary recordings in Recording Insights. This function combines the proxy rule of Microsoft Teams with Recording Insights.
    • Requirement: Microsoft Teams Calling plan license
    • Only applies to audio and video conversations (not for chat messages)
  • Selective recording deactivation: Provides the option to deactivate recording for specific calls or subscribers as required, allowing flexible control.
  • Post-editing-Timer (sec.): Defines the post-processing time in seconds available to users to make notes or edits after the end of the call before the recording is completed.

Retention Time (Days)

Option to define retention time (TTL) for recordings in days.
NOTICE! Make sure to observe the legal country-specific requirements for the retention time of recordings.

  1. Enter a period of time after which the saved recordings will be deleted.
  2. The default value is 730 days.

Check Validity

Checks whether there is an overlap of the key expiration date and the retention time (TTL).

NOTICE! The function Key expiration must be activated, see Rotation type Interval.

Description

Entering a description is optional.

  1. Click on the button Save as new rule to save the entries.
    Click on the button Cancel to discard the settings.

Save changes of an assigned recording rule

  1. Click on the button Save.
  2. If the rule is already assigned to a user or group, the following message is displayed:

  4. Click on the button Yes to save the changes.
    Click on the button No to discard the changes.

Alternatively, you can create a new rule.

  1. Click on the button Save as new rule to save the changes as a new rule.
    Click on the button Cancel to discard the changes.
